What DeclutrMail can see and change.
DeclutrMail uses a limited set of Gmail details, shows you each manual change before it happens, and keeps those decisions separate from automatic rules. Gmail remains where you read and reply.
We store only the Gmail details we need.
The list below covers the Gmail details DeclutrMail stores. We also keep the account information, preferences, decisions, Activity history, and billing records needed to run your account. We do not store full card numbers.
Gmail details DeclutrMail stores:
- Gmail message and conversation IDs
- Sender name and email address
- Subject line
- Gmail preview snippet (the short text shown in your inbox list)
- Date received
- Gmail labels
- Your Gmail label names
- Read or unread state
- Whether a message was sent by you
- Recipient email addresses from To and Cc on email you sent
- Unsubscribe links and whether one-click unsubscribe is supported
- Estimated Gmail message size
DeclutrMail never fetches or stores:
- Full email contents
- Email HTML
- Attachments
- Images embedded in emails
- Raw email source
- Email headers other than From, Subject, To, Cc, and unsubscribe information
We never fetch or store full email contents. Gmail remains where messages are read and replied to.
What the Gmail preview snippet contains
This is the short text Gmail already shows in your inbox list. DeclutrMail receives it directly from Gmail and does not download the full email to create it.
Suggestions come from clear rules, not guessed categories.
- Protected senders firstA sender you protect is excluded. Writing to a sender, starring their email, or Gmail marking it important can also protect a sender automatically.
- Reasons to KeepA sender you recently wrote to, or whose recent mail is mostly marked read, is kept. So is a Primary sender with no unsubscribe link.
- Enough information?Very new or low-volume senders become Later instead of forcing a suggestion.
- Compare Archive and UnsubscribeDeclutrMail uses facts such as volume, marked-read rate, previous archives, and whether the sender offers unsubscribe.
- Show whyThe suggested action and the facts behind it appear together. You make the final decision.
DeclutrMail does not predict email categories. A sender counts as Primary only when Gmail itself filed most of its categorized mail there.
Where language generation fits
Anthropic may turn the selected sender facts into a short explanation. It receives the sender’s name and domain, the suggested action, and the facts behind it. It does not receive subject lines, preview snippets, or full email contents for this explanation. If Anthropic is unavailable, DeclutrMail shows a standard explanation.
What Anthropic receives for a Pro Brief.
DeclutrMail can send the sender, subject line, and Gmail preview snippet to Anthropic to draft a Pro Brief. Full email contents, attachments, embedded images, and raw email source are not sent. If Anthropic is unavailable, DeclutrMail uses a standard summary.

Anthropic sets its own retention and training terms. DeclutrMail’s privacy policy links to those terms and explains when Anthropic receives data.
Mail-moving actions wait for their preview.
Before you confirm, DeclutrMail shows how many emails are affected, a sample when available, and what will change in Gmail. If that preview cannot load, the action cannot run. Keep is an inline sender decision; enabled Autopilot rules can act on future matches without a separate confirmation each time. Activity shows running actions and confirmed outcomes, with Undo when available.

- ConfirmDeclutrMail makes the Gmail change or sends the unsubscribe request.

For one-click lists, the sender’s system reports whether it accepted the request. A delivered unsubscribe request cannot be undone; a paired Archive or Delete has its own Activity Undo.
A manual decision does not create an automatic rule.
Archive, Later, and Delete affect current mail matching the scope you approve. Autopilot is separate: only rules you deliberately turn on handle future matches, and you see what a rule would do before you turn it on.

Turning a preset on shows what it would do first. Low-engagement Archive and new-sender Later always collect suggestions for approval. Other presets offer Act now or Watch first. Every rule can be paused.
Why DeclutrMail asks to organize Gmail.
Google names this permission gmail.modify. It lets DeclutrMail move email out of Inbox, add labels, and move email to Trash. DeclutrMail requests only the listed Gmail details, encrypts the Google access token, and never sends that token to your browser.
You stay in control: revoke Google access, disconnect an inbox from the account menu, export your data, or schedule deletion of the whole DeclutrMail account from Settings. Disconnecting preserves historical DeclutrMail records for reconnection.

Limits you should know.
DeclutrMail is explicit about what it cannot guarantee.
- Gmail, on the webDeclutrMail is currently a web companion for Gmail. It is not a universal mailbox or a replacement Gmail reader.
- Sync time variesMailbox size and Gmail’s limits affect the first scan. DeclutrMail shows progress instead of promising a fixed completion time.
- Unsubscribe is a requestA sender can ignore or delay an unsubscribe request. Once a one-click request is delivered, DeclutrMail cannot recall it.
- Suggestions are optionalYou can always choose a different action. Protect remains a separate control that keeps a sender out of bulk and automatic changes.
